Vacancy for Team Coordinator

At BIMCO, the world’s largest shipping association, we are looking for a Team Coordinator to support the Deputy Secretary General responsible for Regulatory Affairs and to provide day-to-day administrative support to the Regulatory Affairs team.

About the role

As Team Coordinator in Regulatory Affairs, you will be the administrative backbone for the Deputy Secretary General and the team, ensuring meetings, committee work and internal processes run smoothly and professionally.

You will coordinate calendars, prepare and distribute meeting materials, write minutes, support committee governance, maintain structured records and be responsible for follow-ups across multiple stakeholders.

Key responsibilities

  • Provide administrative support to the Deputy Secretary General (DSG), including managing calendars, meetings, and information flow
  • Plan and execute joint biannual Marine Environment Committee (MEC)/ Maritime Safety & Security Committee (MSSC) meetings: handle all logistics, responsible for meeting papers, liaison with all stakeholders and writing the draft minutes
  • Handle all necessary liaison with Chairperson/Chairperson’s PA and committee members, and arrange pre-meeting updates
  • Manage the nomination process and onboarding procedure for new committee and Regulatory Affairs team members
  • Work closely with the Secretary General’s PA especially regarding deadlines for proofread papers from Regulatory Affairs Department for BIMCO Executive/Board meetings
  • Organise all the necessary regular internal meetings for the DSG and assist with annual team event planning
  • Support the delivery of BIMCO events/seminars working with teams across the organisation, including regional offices
  • Coordinate the meetings of the internal Policy & Strategy Group (PSG), manage the follow-up, maintain the correct version of PSG papers, observe deadlines for submission of PSG papers for committee meetings and subsequently handle the necessary updates
  • Proofread and support submissions, papers, letters, articles etc plus; monitor annual objectives and budget adherence.


About you:

  • Experienced in PA/EA and administrative coordination roles, ideally in an international and/or membership-based organisation
  • Highly structured with strong attention to detail—confident in preparing, proofreading, formatting, and distributing meeting materials
  • A strong communicator in both written and spoken English
  • Comfortable working with committees and senior stakeholders—service-minded, professional, and discreet
  • Able to prioritise and stay composed during busy periods whilst keeping an overview of multiple workstreams
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and confident maintaining structured records in line with data policies.
